Terms and Conditions

1. Acceptance of Terms

By booking or participating in an Amazing Races event, you agree to these terms and conditions. "We", "us", and "our" refer to Amazing Races (ABN registered in Victoria, Australia). "You" refers to the individual or organisation making the booking.

If you're booking on behalf of a company or group, you confirm you have the authority to accept these terms on their behalf.

2. Bookings and Payment

All bookings are confirmed once we issue a written confirmation via email. A 50% deposit is required to secure your event date. The remaining balance is due 7 business days before the event.

Prices are quoted in Australian dollars (AUD) and are inclusive of GST unless stated otherwise. We reserve the right to adjust pricing for events booked more than 6 months in advance if costs change significantly.

3. Cancellations and Rescheduling

Cancellations must be made in writing via email to mick@xlevents.com.au.

  • 30+ days before the event: Full refund minus a $150 administration fee.
  • 15 to 29 days before the event: 50% of the total booking fee is refundable.
  • 14 days or less before the event: No refund. You may reschedule once to a date within 90 days, subject to availability.

Group size reductions of more than 20% within 14 days of the event may incur additional charges to cover fixed costs already committed.

4. Weather Policy

Our events run in most weather conditions. Routes include covered sections and indoor checkpoint options where possible.

If the Bureau of Meteorology issues a severe weather warning for the event location on the scheduled date, we'll offer a free reschedule to a mutually agreed date. We determine at our sole discretion whether conditions are unsafe enough to postpone.

Light rain, wind, or heat alone are not grounds for cancellation or refund. We recommend participants dress for the forecast.

5. Liability and Assumption of Risk

Amazing Race events involve physical activity in public spaces. By participating, you acknowledge and accept the inherent risks, including but not limited to: slips, trips, falls, exposure to weather, and interaction with public environments.

To the maximum extent permitted by Australian Consumer Law, Amazing Races is not liable for any personal injury, property damage, or loss arising from participation in our events, except where caused by our negligence.

Participants with medical conditions, injuries, or mobility limitations should notify us before the event so we can adjust challenges accordingly. We reserve the right to exclude any participant whose condition poses a safety risk to themselves or others.

The booking organisation is responsible for ensuring all participants are aware of the physical nature of the event and have consented to participate.

6. Intellectual Property

All race routes, clue sheets, challenge designs, branding, and event materials are the intellectual property of Amazing Races. You may not reproduce, distribute, or use our materials for any purpose other than your booked event without written permission.

This includes copying our event format to run your own internal version. If you'd like a recurring program, talk to us about an ongoing package.

7. Photography and Video

We may photograph or film during events for use on our website, social media, and marketing materials. If you or your organisation do not want to be featured, let us know in writing before the event and we'll make sure you're excluded.

Photos and videos taken by participants during the event are for personal and internal corporate use only. They may not be used for commercial purposes without our written consent.

8. Participant Conduct

Participants must follow all event rules and instructions from Amazing Races staff. We reserve the right to remove any participant who behaves in a way that's unsafe, disruptive, or offensive to other participants, staff, or members of the public.

Participants must obey all local laws, including road rules and pedestrian regulations, during the event. Amazing Races is not responsible for fines or penalties incurred by participants who break the law during a race.

9. Privacy

We collect and handle personal information in accordance with the Australian Privacy Act 1988 and our Privacy Policy. By booking, you consent to the collection and use of personal data as described in that policy.

10. General

These terms are governed by the laws of Victoria, Australia. Any disputes will be resolved in the courts of Victoria.

If any part of these terms is found to be unenforceable, the remaining provisions continue in full force.

We may update these terms from time to time. The current version will always be available on this page. Continued use of our services after changes are posted constitutes acceptance of the updated terms.
